LogClimb, LLC (“LogClimb”, “we”) converts pilot logbooks. This policy explains what we collect, why, who else handles it, and the rights you have.
Numbers in brackets point to sections of the Digital Files Agreement, or of the Upkeep Subscription Agreement where it is named.
What we collect
- Contact details: your name, email, phone number and mailing address.
- Your logbook: the files of your logbook pages that you make yourself and the records you export (such as crew-log records) that you send us, and the digital logbook we make from them. These include flight dates, aircraft, routes, times and remarks, and may include your name, certificate number and employers.
- Order details: your quote, signed agreement (with the signing record: email, date and time, IP address, device and browser), payments and messages with us.
- Plan details: for student pilot and CFI upkeep plans, a note that you qualified and the date. We delete any proof you send within 30 days after we check it.
- Website forms: what you type in the quote, free download and gift forms.
(7.1)
How we use it
We use your information only to quote, convert and deliver your logbook, to answer you, to bill you, to maintain and improve our own services, and to meet legal duties. What you send through a website form is used only for that form’s purpose: a quote, the download link you asked for, or the gift you’re giving.
We don’t sell your data
We never sell or rent your information. We don’t use it for targeted advertising or profiling. We use it to perform your order and to maintain and improve our own services. (7.2, 14.3)
How we protect it
- Our work computer’s disk and our backups are encrypted.
- Each client’s files are kept in their own separate area.
- Everyone who works on your logbook is bound to keep it confidential. If you give us a temporary password so we can import into your logbook app, we use it only for that import and don’t keep it afterward.
(7.3)
Who else handles it
We use a small number of service providers. Each one gets only what it needs to do its job for us:
- Apple iCloud (file storage and backup): the files you send us, your digital logbook and order records.
- Resend (sending email): your name, email address and the emails we send you, such as quotes, signing links, signed agreements and delivery links.
- Stripe (payments): your name, email, billing address and payment details. We never see your full card number.
- Anthropic’s Claude (AI service provider): the files you send us and their contents. A person always checks the result.
- Cloudflare (our website, quote and signing forms, the signing record, and your private upload and download links): what you type into our forms, the files you send us and the finished files we deliver, plus your IP address and browser details. Files are stored there only until we delete them as described below. Cloudflare Web Analytics counts page visits without cookies.
- WhatsApp, run by Meta (messages), only if you write to us there or chose WhatsApp on your quote: your phone number, name and the messages you send.
We update this list when we change providers. (7.5)
How long we keep it
We keep the files you send us and your finished logbook for 90 days after delivery so we can make corrections, then delete them from our computer and our cloud storage, unless you have an active upkeep plan or ask us to keep them longer. We keep invoices, signed agreements and upkeep sign-up and cancellation records as long as tax and consumer law require. (7.4)
If something goes wrong
If your information is exposed in a security incident, we tell you by email as quickly as possible, and no later than 60 days after we discover it, or sooner if the law of the state where you live requires it. If it involves 250 or more Texas residents, we also notify the Texas Attorney General within 30 days after we discover it, and we notify any other authority when the law requires. (7.6)
Children
Our services are for people 13 and older. Clients under 18 need a parent or legal guardian to sign for them. We don’t knowingly collect information from children under 13. If we find out that we have, we delete it promptly.
Your privacy rights
Wherever you live, you can ask us to:
- confirm whether we hold your personal information, and see it;
- correct it if it’s wrong;
- delete it, except what the law requires us to keep;
- receive it in a format you can reuse.
We don’t sell your information or use it for targeted advertising or profiling, so there is nothing to opt out of, but you may still ask us to confirm that in writing. Texas residents have these rights under the Texas Data Privacy and Security Act.
California residents also have the right to know what personal information we collect, use and disclose, the right to delete and correct it, and the right to opt out of its sale or sharing. We don’t sell or share it. We will not treat you differently for using any of these rights.
How to ask: email [email protected] from the address you used with us. We may ask a question to confirm it’s you. You, or someone you authorize in writing, can make a request free of charge, and we answer within 45 days. If we need more time, we tell you why, and we take no more than 45 more days.
Appeals: if we turn down your request, you can appeal by replying with the word “Appeal”. We answer within 60 days and explain our decision. If you disagree, you can complain to the Texas Attorney General at texasattorneygeneral.gov, or to the attorney general of your state.
